Event management

From the first draft to the thank-you email

A charity dinner, a distribution day, an online update for donors: each event is one record with seven tabs, so the guest list, the volunteer rota, the to-do list, the attendance and the feedback are never spread over five spreadsheets.

What you can manage

Everything for Events, in one place

Event lifecycle

Draft, publish, open and close registration, run, complete and archive, one step at a time.

Participants & waitlist

Register guests, cap the places and let a waitlist fill cancellations automatically.

Volunteer shifts

Give volunteers a role and a shift; they accept or decline.

QR check-in

Print a code for the door. Volunteers scan it and check in from their own phone.

Tasks

The to-do list before, during and after, each task given to a volunteer on the event.

Attendance

Attended and absent marks, check-in times and hours in one view.

Messages

One update, reminder or thank-you to everybody registered or assigned.

Feedback & reports

Star ratings and comments afterwards, and a yearly report by month, type and place.

How it flows

Four steps, one record

  1. 1Create and publish the event
  2. 2Register participants and assign volunteers
  3. 3Check in at the door and record attendance
  4. 4Thank everyone and read the feedback

Reminders and thank-yous send themselves

The day before an event, registered participants and rostered volunteers are reminded by email. The day after, everyone who attended is thanked. Donors among the guests are linked to their donor profile automatically.

Questions

Questions about Events

Can participants register themselves online?

Not yet. Your team registers participants, and anyone registered with a known email address is linked to their donor or team record automatically. When an event is full, new registrations go on the waitlist and move up when a place is cancelled.

How do volunteers check in at an event?

Each event can issue a QR code for the entrance. A volunteer scans it and enters the email address on their record to check in or out, and their hours are counted from those times.

Can we email everyone on an event?

Yes. From the event you send an update, a reminder or a thank-you to participants, volunteers or both. Reminders the day before and thank-yous the day after are sent automatically.
